| The Activities Synchronization options allows you to synchronize/update activities that exist in ACT! and in Outlook.

| Activities to synchronize
|
|
|
| · | To Do's. Enables or disables Synchronization of Todo's.
|
| · | Calls. You can enable or disable Synchronization of calls.
|
| · | Meetings/Appointments. You can enable or disable Synchronization of meetings.
|
| · | Enable Activity Filtering. This allows you to filter out activities before a specific date i.e. if you only want ACT-Outlook Synchronizer to synchronize activities that happened after Jan 15, 2004, you set the date here to be Jan 15, 2004 using the provided date picker and consequently no Activity before Jan 15, 2004 will be synchronized. It allows you to select/deselect what type of history items you want transferred to Outlook. This prevents over populating the Outlook folders with information that may not be necessary (such as field changed history record). By default, when ACT-Outlook Synchronizer is installed, this

| · | Include Private Activities. This option instructs the synchronizer to include/not include activities that have the private flag set.
|
| Outlook Subject Line Modification Settings
|
| Here you are provided with options to modify the subject line of Outlook Tasks and Calendar Items with Contact specific information. You can enable/disable this option.
|
| · | Modify Calendar Subject Line. This option enables/disables modification of the Outlook Calendar items with contact specific information.
|
| · | Modify Tasks Subject Line. This option enables/disables modification of the Outlook Tasks items with contact specific information.
|
| · | Add Name to Activity Subject Line. This option will add the contact's name to the activity subject line in Outlook when the activity is updated or created from ACT!. The name is removed when the activity is synche'd to ACT! and does not appear in the ACT! The syntax of the activity is: <Name> :: Subject Line. When the activity in ACT! is updated from Outlook, all the before the ":: " are removed i.e. the contact's name. Hence, if you use this option, do not remove the ":: " marker otherwise the name will not be stripped when imported to ACT!.

| · | Add Phone Number to Activity Subject Line. This option add the phone number of the contact to the Activity subject line. This is specially useful on the calls.
|
| · | Add Company Name to Activity Subject Line. This option adds the company name to the Activity Subject Line.
|
| Outlook Subject Line Tags
|
| Activity Tags (Call, Todo, and Meetings Tags): You can preface each activity in Outlook with the tag that you define in the synchronizer. For example, a Call in the Calendar would look like: Call: John Master, (408)555-1212 :: Close the sale.
|
| Without the tags ( and the addition of the name, phone number), the calendar option would look like: Close the Sale. This makes it confusion when you look at the activity in Outlook. In addition to the particular activity tag, you can add the name of the contact and the phone number to the activity subject line by enabling Add Name To Activity Subject Line and Add Phone Number to Activity Subject Line. This is a great option when you are synchronizing your cell phone, PDA or other device with Outlook. By simply looking at the subject line of the Activity, you can see with whom it is and the phone number of the person.

| The reason the tags are editable is so that you can enter whatever name for the tag you want, whether in English or in a non-English language.
|

|
| Other Options
|
| · | Enable Alarms in Outlook. Set this option if you want the ACT! alarms to transfer to Outlook. Warning, if you have alarms that are dated, ALL alarms will come up in Outlook.
|

|
| Outlook Forms
|
| If you use customized outlook forms for Tasks and Calendar Items, enter the form names here.
|
|
|
| Outlook Independent Activities.
|
|
|
| When outlook independent activities are found, ACT-Outlook Synchronizer prompts the user to match the activity to the corresponding contact.
|
|
|
|
|
|
| When this screen is displayed, there are 2 actions that can be pursued:
|
| 1. | Match the independent activity to the selected contact in ACT!. You must first select the contact in ACT! and then match the activity to that contact. This activity will then appear under the selected ACT! contact.
|
| 2. | Ignore. When pressed, the activity is then ignored and not brought over to ACT!. Note, next time you synchronize, you will still be prompted for the contact to match the activity.
|

|
| Refresh Contact List
|
| For speed purposes, the contacts are only displayed when the independent activities match screen first appears. If you have added contacts while synchronizing, the contact list may be less than the total contacts in ACT!. Pressing the refresh contact list will re-display the ACT! contacts.
|
|
|
| Outlook Independent Activities are activities that are not linked to anyone in Outlook. In ACT!, each activity has to be matched to a contact. Hence, there are two options when dealing with activities:
|
1. Match all independent activities to a single contact in ACT!. When an independent activity is found, it is automatically matched to a pre-determined ACT! contact. This contact ID is set in the activities Tab:
|
| In background mode, when an independent activity is found, it is consequently matched to the selected contact.
|
|
|
| 2. | Prompt for Matching ACT! Contacts Option (Default). This option prompts the user with a list of contacts to whom match the activity. Use this option if you want to match the activity to a contact interactively.
|
|
|
|
|
|
